How a Bandung Company Eliminated Reimbursement Backlogs with Odoo Expenses
A Bandung company cleared its chronic expense-reimbursement backlog and stopped losing receipts with Odoo Expenses and mobile capture. Here is what changed.

A company in Bandung — a services business with a mobile sales and delivery team of around thirty people — had a reimbursement backlog that never went away. Staff were constantly out spending on transport, client meetings, and supplies, then submitting expenses weeks later on paper forms. Finance was perpetually behind, employees were perpetually waiting to be paid back, and everyone was mildly resentful about it.
The paper backlog
The process was entirely paper-and-memory. An employee would spend, stuff the receipt in a wallet or a glovebox, and at some point — often weeks later — fill in an expense form, attach whatever receipts had survived, and hand it to finance. Finance would then work through these forms, squinting at faded thermal receipts, querying missing ones, and entering everything manually into the accounts.
This created a chronic backlog. There were always forms waiting to be processed, always queries about missing or illegible receipts, and always employees asking when they would be reimbursed. Some staff, tired of the hassle, simply stopped claiming small expenses and quietly absorbed the cost — which was bad for morale and meant the company’s expense data was incomplete anyway.
Reimbursement routinely took weeks, sometimes over a month. For staff spending their own money on the company’s behalf, that delay stung.
What changed
They implemented Odoo Expenses with mobile capture.
Capture at the moment. Employees now photographed each receipt and recorded the expense on their phone right after spending — at the client lunch, at the petrol station, in the field. The receipt was captured while fresh, the expense recorded while remembered. The wad of faded paper and the end-of-month reconstruction were gone.
Digital approval. Managers approved expenses from their phones, with the receipt visible, wherever they were. No more waiting for forms to physically reach a desk.
Automatic posting. Approved expenses posted to accounting automatically, correctly categorised, so finance stopped manually entering everything from paper.
The result
The backlog cleared. Because expenses were captured cleanly at the moment and flowed through digital approval to automatic posting, finance was no longer drowning in paper forms and queries. The perpetual pile of unprocessed reimbursements simply stopped accumulating.
Reimbursement time dropped from weeks to days. Employees who submitted promptly (which the easy mobile process encouraged) got paid back quickly, which noticeably improved morale — the low-grade resentment about slow reimbursement faded. And because submitting was now effortless, staff stopped absorbing small expenses; they claimed them, which meant the company’s expense data finally reflected reality.
The lost-receipt problem largely disappeared too. A receipt photographed at the moment cannot fade in a glovebox or vanish in the wash, so the disputes and unclaimable expenses that paper caused mostly stopped.
Why it worked
The company did not have a finance-diligence problem; it had a process problem. The backlog came from the inherent slowness of paper-and-memory: the delay between spending and recording, the manual entry, the lost receipts. Moving capture to the moment (on a phone) and the approval and posting to digital removed each source of delay and loss.
It is worth noting the win depended on adoption — employees actually using mobile capture rather than reverting to old habits. Because the mobile process was genuinely faster and easier than the paper form (and got them paid back quicker), adoption came naturally; people preferred it. A clunkier system would have been ignored.
