Odoo Multi-Company and Multi-Currency for Growing Groups

How Odoo handles several legal entities and currencies in one database, where consolidation gets harder, and what to decide before you add your second company.

Short answer: Odoo can run several legal entities and several currencies in a single database, and for a group of two to ten companies that is usually the right starting point. The mechanics are solid. The hard parts are the decisions around them: what is shared, what is separate, how you consolidate, and who is allowed to see what. Make those decisions before you create the second company, not after.

What “multi-company” means in Odoo

In Odoo, multi-company means one database containing several companies, each with its own books, chart of accounts and fiscal setup. Users see the companies they are allowed to access in the top-right menu and tick the ones they want active at the same time. According to the Odoo 18 multi-company documentation, access is controlled per user, so a finance lead can work across all entities while a branch manager sees only one.

Not everything has to be duplicated. Products and contacts can be shared across companies or restricted to one, which is useful when entities sell the same catalogue. The trade-off is that shared master data needs an owner. If three entities can edit the same product record, someone must decide who is allowed to.

One thing to check early: the Odoo documentation says that on Odoo Online, enabling multi-company on a Standard plan triggers an upsell to the Custom plan. Confirm your plan and edition against current Odoo pricing before you design around it.

Inter-company transactions

If your entities trade with each other, the inter-company feature saves real effort. Per the Odoo documentation, a sales order confirmed in one company can generate the matching purchase order in another, and a posted customer invoice can generate a vendor bill. Product records are shared between the companies involved.

Be aware of these caveats from the same documentation:

  • Fiscal positions and localizations must be configured correctly in each company, or the generated documents will carry the wrong taxes.
  • Warehouses are not created automatically for companies added after the initial setup. You create them by hand.
  • Automatic counterparts are convenient but do not replace a review. Mismatched prices or tax codes between entities will flow straight through.

Multi-currency: what Odoo does for you

Multi-currency is simpler than multi-company. Per the Odoo 18 multi-currency documentation:

  • Each company has a main currency, defaulting to its country’s, which you can change in the accounting settings.
  • You activate additional currencies and either enter rates manually or switch the update interval from its default of manual to daily, weekly or monthly, using a web service you choose.
  • Invoices, bills, payments and bank transactions can be recorded in a foreign currency, with the main-currency equivalent shown during reconciliation.
  • Exchange gains and losses are booked automatically when a payment settles at a different rate from the invoice. The journal and accounts used are configurable.
  • Journals and accounts can be restricted to a single currency, for example a USD bank account.

What it does not remove is the policy question. Which rate source is authoritative? Do you use daily rates or month-end rates? Who approves manual rate overrides? Auditors will ask, and the answer should not be “whatever the default was.”

Consolidation is the real work

Running books for several entities is one task. Producing a group view is another. Odoo’s consolidation documentation describes combining legally separate companies into one view by mapping similar accounts across their charts, with adjustment journals kept in a separate multi-ledger for the consolidating company.

For currency translation it describes using the historical rate for equity, the average rate for profit and loss, and the closing rate for balance sheet accounts other than equity.

Points to weigh honestly:

  • The documentation we reviewed does not explain intercompany eliminations in detail. If you have significant inter-company balances, test elimination on real data before you rely on it.
  • Group structures with partial ownership, minority interests or complex translation reserves may need extra reporting work or a dedicated consolidation tool. Check this against the current feature set for your version and edition.
  • The consolidation page does not state which editions or plans include the feature. Confirm availability for the version and plan you plan to run.

A practical decision checklist

Before adding company number two, settle these:

DecisionWhy it matters
One database or one per entityOne database eases inter-company flows and group reporting. Separate databases give harder isolation.
Shared vs. per-company chart of accountsAligned charts make consolidation much easier.
Shared vs. per-company products and contactsShared data needs a clear owner.
Currency policyRate source, rate frequency, who may override.
User access modelWho sees which companies, and who can post across them.
Intercompany pricing and tax rulesTransfer pricing is a tax topic, not just a configuration one.

A pattern that works: align the charts of accounts first, share only master data that is truly common, and run a trial month-end close across two entities before rolling out to the rest.

When one database is the wrong answer

Separate databases or instances can be justified when entities have different data-residency requirements, different Odoo versions or heavy customisation, or when a subsidiary may be sold and must be cleanly separable. The cost is manual or integrated reporting between systems. Neither choice is free, so pick based on how tightly the entities operate day to day.
